Glacis Privacy Policy
Last Updated: July 7, 2025
Glacis is committed to protecting your privacy. This Privacy Policy explains what information Glacis collects, how we use and safeguard that information, and your rights in relation to your personal data. Currently, Glacis does not collect any personal data from users of its platform. However, as we continue to develop our services, future versions of Glacis may collect certain personal information to provide and enhance our AI-driven logistics automation features. Any personal data we collect will be handled in accordance with this Privacy Policy, which is designed to meet requirements of data protection laws including the EU General Data Protection Regulation (GDPR).
Information We Collect
No Personal Data Collected (Current): At present, Glacis does not actively collect personal identifying information from users. We do not require account registration for the current version, and we do not gather names, emails, or any contact details at this time. We also do not track individual user activities or store personal logs in the current operation of the platform.
Anticipated Data Collection (Future): In upcoming versions of Glacis, we anticipate that we may need to collect some personal and organizational data to support account-based access and to improve our services. This may include:
- Contact and Identity Information: such as your name, business email address, phone number, job title, and the company you represent. This information would be provided by you (or your employer) when creating an account, signing up for a newsletter, or contacting us for support.
- Usage and Log Data: such as login timestamps, actions taken within the platform, system logs, IP addresses, device type, browser type, and other technical information automatically collected when you interact with the Glacis platform. This data helps us monitor system performance, ensure security, and improve user experience. For example, we might use cookies or similar technologies to remember your preferences and gather analytics on how features are used (subject to your consent where required by law).
- Communication Data: if you contact Glacis (e.g., via support email or chat), we may keep records of your correspondence and contact details to respond to your inquiries and improve our customer service.
We will be transparent about any new data collection when it is introduced. We will also indicate whether any data requested is mandatory or optional and the consequences of not providing the data. Glacis will not collect sensitive personal data (such as health, financial, or special category information) unless it is necessary and we have obtained proper consent or have another valid legal basis.
How We Use Personal Data
When we begin collecting personal data, Glacis will use it only for legitimate business purposes in connection with our logistics automation services. Specifically, the personal information we collect (or that you provide to us) may be used to:
- Provide and Improve the Services: We use your information to operate, maintain, and optimize the Glacis platform’s functionality. This includes using data to personalize your experience (for example, remembering user settings) and to develop new features or enhancements. We continually improve our AI models and algorithms, and user data may be used in an aggregated or anonymized form to improve accuracy and performance.
- Communicate and Support: We may use contact information (like your email) to communicate with you about account setup, onboarding, or to provide customer support. For instance, if you ask a question or submit a support ticket, we will use your information to respond and resolve issues. We also send important service notifications, such as updates about changes or new features, maintenance downtime alerts, or security notices.
- Analytics and Usage Monitoring: We process usage and log data to track how the platform is being used and to monitor system performance. This helps us identify usage trends, troubleshoot technical problems, and make informed decisions about improving features. For example, understanding which features are most popular can guide our development priorities. We may also use aggregated usage data to customize the content or layout of the platform for a better user experience.
- Marketing and Updates (Opt-in): If you provide your email or subscribe to updates, Glacis may send you informational or marketing communications about our new features, industry insights, or events related to our services. You will have the ability to opt-out of marketing emails at any time. We will not send you promotional communications if you have not consented to receive them. (Note: Transactional or service-related communications are not considered marketing and will be sent as needed.)
- Ensure Security and Compliance: Personal data may be used to enforce our Terms of Service and policies, to prevent fraud or abuse, and to keep the platform secure. For example, we might use login and IP information to detect suspicious access or violations of acceptable use. We also process data as necessary to comply with legal obligations – for instance, to respond to lawful requests by authorities or to meet record-keeping requirements. In the event of investigations or dispute resolution, relevant data may be used to protect the rights, property, or safety of Glacis, our users, or others.
Glacis will not sell your personal information to third parties. Any use of personal data is conducted in accordance with applicable law and for the purposes described above. Where required by law, we will obtain your consent or ensure we have another lawful basis (such as contract necessity or legitimate interests) before processing your personal data.
Third-Party Processors and Data Sharing
Glacis may share personal data with trusted third parties who process data on our behalf, commonly known as “service providers” or sub-processors. These third parties are used only to support our business operations and the delivery of the Services, and include, for example: cloud hosting providers, data center or infrastructure services, analytics services, email communication platforms, and customer support tools. Any third-party vendor we engage will be bound by contractual obligations to keep personal information confidential and to use it only for the purposes for which we disclose it to them. In other words, our processors cannot use your data for their own purposes and must adhere to the security and privacy standards set by Glacis and the law.
Examples of when we might share data include:
- Hosting and storage of data on a secure cloud service (so your data might be stored on servers operated by a cloud provider on our behalf).
- Using an email service to send account notifications or a support ticketing system to manage user inquiries.
- Engaging analytics providers to help us understand how the platform is used (in an aggregated form).
Glacis will disclose personal data to third parties only in the following circumstances: (1) to our authorized service providers as described above; (2) if required by law or legal process (for example, responding to a court order or government request); (3) if we are involved in a merger, acquisition, or sale of all or a portion of our assets (in which case we will ensure the successor entity is bound to respect the personal data as per this policy); or (4) with your explicit consent for any other disclosures not covered by the above. If Glacis ever needs to transfer personal data internationally (for example, to a service provider in another country), we will do so in compliance with applicable data transfer laws, using safeguards such as standard contractual clauses or Data Privacy Framework certification where appropriate.
Data Storage, Security, and Retention
Glacis takes data security seriously and employs robust measures to safeguard any personal information we hold.
Data Storage: All personal data collected by Glacis (in future versions) will be stored on secure servers using state-of-the-art security protocols. We use encryption technologies to protect personal data both in transit (when data is sent to or from our platform) and at rest (when data is stored on our servers). In practice, this means that if an unauthorized actor were to intercept data or access our storage, the information would be unreadable and unusable to them due to encryption. We also maintain network safeguards such as firewalls and intrusion detection systems to protect against external threats.
Glacis’s security program is aligned with industry standards. We follow best practices as outlined in frameworks like System and Organization Controls (SOC) 2 and ISO/IEC 27001 for information security management. This includes regular security audits, risk assessments, and maintaining controls for data confidentiality, integrity, and availability. Glacis undergoes independent audits of its security controls (or will do so as we scale), and we continually update our policies and procedures to meet rigorous security criteria. By adhering to these internationally recognized standards, Glacis demonstrates a strong commitment to keeping customer data safe and secure. We also train our employees on data privacy and security and limit access to personal data to personnel who need it to perform their job duties, subject to strict confidentiality obligations.
Data Retention: We retain personal data only for as long as necessary to fulfill the purposes for which it was collected, unless a longer retention period is required or permitted by law. For example, if you create an account, we will retain your account information while your account is active and for a reasonable period thereafter in case you decide to reactivate the service. We may also retain certain information for longer if needed to comply with legal obligations, resolve disputes, or enforce our agreements. Once personal data is no longer needed for the legitimate purpose or required by law, we will either delete it or anonymize it so it can no longer be associated with an individual. In scenarios where Glacis acts as a data processor for our customers (processing data on their behalf), we will retain personal information according to the instructions and retention periods set by those customers.
Security Practices and Compliance
Glacis is designed with privacy and security by default. We are aligning our operations with key data protection regulations and certifications to ensure compliance and customer trust. Glacis complies with applicable data protection laws in jurisdictions where we operate, including the EU GDPR, and will adapt its practices as needed to remain in compliance. We will also provide any required transparency or data processing agreements to customers to facilitate GDPR compliance.
As mentioned, our security controls adhere to standards like SOC 2 and ISO 27001, which are widely recognized frameworks for information security. SOC 2 compliance involves independent audits of our practices in areas such as security, availability, and confidentiality. ISO 27001 certification involves establishing and maintaining a rigorous Information Security Management System (ISMS) with controls covering all aspects of data security. By following these standards, Glacis ensures that we have a comprehensive set of policies, procedures, and technical measures to protect data. This includes everything from secure software development and network security to incident response planning and vendor risk management. We view these certifications and audits as an important part of demonstrating our commitment to data protection to our customers.
In addition, Glacis will adhere to any other relevant privacy frameworks or laws, such as the California Consumer Privacy Act (CCPA) for applicable users, and will provide users with required disclosures or options (for instance, not selling personal data, as we have committed, and honoring Do Not Sell signals where applicable). We also continually monitor the regulatory landscape (including decisions like Schrems II related to EU-US data transfers) and adjust our practices to ensure lawful data transfers and compliance. In summary, Glacis’s privacy and security program is built to meet high standards of data protection, giving you confidence that your information is handled responsibly.
User Rights under GDPR
If you are located in the European Economic Area (EEA), United Kingdom, or another jurisdiction with similar data protection laws, you are entitled to certain rights regarding your personal data. Glacis is committed to upholding these rights and providing you with control over your information. These rights include:
- Right of Access and Rectification: You have the right to request confirmation of whether we are processing personal data about you, and to obtain a copy of that data, as well as to have it corrected or updated if it is inaccurate or incomplete.
- Right to Erasure: You can request that we delete your personal data when it is no longer necessary for the purposes for which it was collected, or if you believe it’s being processed unlawfully, among other reasons. We will honor such “right to be forgotten” requests in accordance with applicable law (note that in some cases we may need to retain certain information for legal obligations or legitimate interests, which we will communicate to you if applicable).
- Right to Object or Restrict Processing: You have the right to object to our processing of your data in certain circumstances, including when data is processed for direct marketing or based on our legitimate interests. You also have the right to request that we restrict processing of your data (for example, while we verify or investigate your concerns about data accuracy or our use of your data).
- Right to Data Portability: You may request to receive the personal data you have provided to us in a structured, commonly used, and machine-readable format, and you have the right to transmit that data to another controller where feasible. This right applies when the processing is based on your consent or a contract with you and the processing is carried out by automated means.
- Right to Lodge a Complaint: If you have concerns about how Glacis is handling your personal data, you have the right to file a complaint with your national Data Protection Authority or other relevant supervisory authority. We would, however, appreciate the chance to address your concerns directly before you do so; please see the Contact Us section below to reach out to us, and we will endeavor to resolve any issues.
Please note that the above rights are not absolute and may be subject to certain conditions or exemptions under applicable law. For example, we might not be able to delete all your data if we are required to keep it by law, or we may need to verify your identity before fulfilling an access request. If you wish to exercise any of these rights, you can contact us at the contact information provided in this Privacy Policy. We will respond to your request within a reasonable timeframe and in accordance with the timelines required by law. There is generally no fee for making such requests, but if a request is manifestly unfounded or excessive (for example, repetitive), we may charge a reasonable fee or refuse to act on the request, as permitted by law.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. If we make material changes to this Policy, we will notify users by updating the “Last Updated” date at the top and, if required by law, by providing additional notice (such as via a prominent notice on our website or via email). We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting your information. Your continued use of Glacis after any changes to this Policy will signify your acknowledgment of the updated terms, to the extent permitted by law. If we seek to use your personal data for a new purpose not originally disclosed, we will obtain your consent or provide a lawful basis for that new use as required by applicable law.
